With the myriad of projects being undertaken by various government units, offices or agencies, it becomes crucial to keep track of people and activities in order to monitor the project’s progress and ensure that the activities are carried out as planned. However, there is no standard method or tool being utilized by the governments of most emerging economies to track its projects. A mix of different versions of spreadsheets, documents, email exchanges and various meetings are the norm when it comes to project tracking by most governments; which could lead to inaccuracies and some confusion as to the actual state and progress of projects.

The system has the following components:

  • Master: A user can create different types of projects and maintain different records related to a particular project. Facility to create entities, view list of proposals, split a project into multiple jobs and capture details from feasibility study. Wide range of data can be captured in terms of budget, specifications, requirements, client or any other details.
  • Stakeholder Tagging: This module is used for assigning a project with multiple implementing agencies. A super administrator is enabled to create users and provide the access to the created user of certain modules based on their authority and hierarchy.
  • Project Definition: This module is used to define a particular project in terms of mile stone and development plan. Facility to add the schedule and tasks, assign resources, mark a task as a milestone and assign criticality to a task is provided.
  • Data Updation: A user can upload the data of the particular project in terms of the progress, physical and financial. Integration with the google maps helps with uploading photographs of project site. Creating an electronic file will help with data storage which can be accessed offline as well without compromising security.
  • MIS Reports: A user can view the status of their project and access different reports such as list of works, bills, payments, work-wise feasibility, award of work order, abstract measurement book details, etc.

CSM’s Project Monitoring System is highly dynamic and configurable. Its service oriented architecture and integration capabilities with various communication channels add to its scalability and maintainability. The system ensures that the data collected from all levels of administrative units is compiled and reported with speed and accuracy, to produce reports that present a clear picture at the grass root level which helps immensely with the monitoring and evaluation of schemes run by the government.

Project Monitoring System is an IT solution with the prime objective of facilitating proper monitoring of the activities that constitute a project and also serve as a single repository of the data for the projects. The online application allows project proponents to collaborate with all the stakeholders; from initiation to planning and design, execution, monitoring and evaluation, to closing.
